COVID-19 Policies and Protocols
In early May, the Academy formed a special task force to begin planning for the 2020-2021 school year. Since that time, teachers have also been meeting weekly to share their input with their division principals. Together, we have participated in webinars conducted by the National Association of Independent Schools, Florida Council of Independent Schools and Independent School Management, amongst other leading educational organizations. We are also relying on resources from the Diocese of St. Petersburg, the Florida Department of Education and local health professionals.
This collaborative work is guiding us as we establish best practices for returning to our classrooms, as well as preparing for the possibility of a return to virtual instruction during the year. Taking feedback from our time virtual learning this spring, we will build and improve upon our virtual curriculum should the need arise.
We are charged with adjusting the traditional in-school experience at AHN specifically to be as safe as possible under the CDC Guidelines for Schools and recommendations being made at the state and local level in response to the COVID-19 global pandemic.

Academic Learning Options
The Academy recognizes that some families may not be comfortable with their child(ren) returning at this time, so we have developed two different school options. A full description of these two scenarios, including sample schedules and division-specific details, is outlined below. This year, we are eliminating late-start Wednesdays to capture as much academic time as possible in the event that we have to move to virtual learning.
Students may shift between options only once every six weeks. The six-week period goes into effect once you switch choices. For example, if you choose in-school learning for your child, and after a few days or a week (a trial period), you decide that is not the right choice for your family, you can go to at-home learning. Once you go at-home, you would be committed to continuing in that learning model for six weeks. The same would be true in reverse.
- On-Campus Learning - If the State of Florida allows schools to open and the family is comfortable attending school.
- At-Home Learning - If the child has a preexisting health condition or the family is not comfortable attending school.
- Virtual Learning - If the State of Florida does not allow schools to open.
*As an independent school, the Academy reserves the right to make what we feel is the best decision for our school. Along with the guidance of medical professionals, we will follow the guidance of the governor and the Bishop when determining if it is appropriate to reopen the building.
At-Home Learning (PKA Hybrid Learning)
At-home learning runs concurrently with on-campus learning; however, it is not the same as distance learning. While at-home learning is not equivalent to in-person learning, the Academy’s faculty and staff will provide high-quality instruction to advance students’ academic progress and attend to the social and emotional well-being of each student until he or she is able to return to school.
At-home learning, by design:
- Provides support for students and families who must be out, or who choose to be out, due to COVID-related concerns.
- Helps maintain connection and community between classmates on campus and at home.
- Will be available as long as COVID-19 continues to be a concern, most likely for the 2020-2021 school year.
- Allows the Academy to fulfill its mission and continue to provide our high-quality education to all students during these exceptional circumstances.
With at-home learning, students will continue to receive grades and assignments must be completed. If a student is not sick, it is expected that he or she attend classes at the established times via Google Meet or Zoom and keep up with all assignments. Training will be provided on all tools and technology that support student learning.
Pre-K and K
Learning at Home While School is in Session On-Campus
- Each child will receive a materials kit and ideas for possible playful learning and exploration. This materials kit, or “to-go bag,” will include a school-issued iPad that will have the necessary apps pre-loaded.
- Includes daily contact with an AHN faculty member.
- Includes both asynchronous (recorded) and synchronous (live) content.
- There will be a microphone in each classroom so students at home can hear the teacher and in-class discussions.
- Media, one-on-one or small-group contact, and hands-on activity time will total approximately 1.5 hours daily.
- Will utilize Seesaw and Google Meet or Zoom.

9th-12th
Learning at Home While School is in Session On-Campus
- Students will log into their classes at the scheduled time, either via Google Meet or Zoom.
- Each student is expected to log in and remain online, with video on, for the duration of the class.
- Students will be grouped in the classroom and virtually to facilitate small-group discussions and projects.
- There will be a microphone in each classroom so students at home can hear the teacher and in-class discussions.
Virtual Learning
Following the recommendations from our Covid task force and trends from past pandemics, the Academy is preparing for possible interruptions in on-campus learning. This scenario is enacted when it is not safe to open all or part of the Academy’s campus. When virtual learning is deployed, an entire class, division, or the school as a whole is involved. Last spring, we had to make this transition very quickly and we learned some lessons that we would employ if we have to return to this scenario. As a technology-rich school, we are leaders in remote education.
Students will be equipped with a "grab-and-go" kit in the event on-campus learning transitions to the virtual model. Books and supplies will be readily accessible in the event an interruption occurs.
We recognize the needs of young children include the requirement of supervision and care in addition to their learning. In the event we are limited to the number of students allowed on campus, we will prioritize the on-campus experience for our youngest students.
Lower School
- The school will assemble “to-go kits” for students with all necessary supplies, including print-outs, manipulatives and iPads with pre-loaded apps. Depending on the length of time we are in this model, print-outs and new manipulatives would be picked up through a drive-through service.
- There will be a consistent schedule of small-group and one-on-one check-ins with the teacher. The school will balance screen time for our youngest students while offering more face-to-face time with their teachers and peers.
- Students in pre-K through 2nd grade will use Seesaw and Google Meet to submit work and communicate.
- Students in grades 3 and 4 will use Google Classroom and Google Meet to submit work and communicate.
- In all grades there is an expectation that work for all subject areas will be provided and completed.
- We will offer a drive-through library so students have books to read.
Middle School
- Students in the middle school will continue with the schedule from spring, whereby they virtually attend their classes daily and Wednesday is a flex day.
- The school will assemble “to-go kits” for students with all necessary supplies, including print-outs and manipulatives. Depending on the length of time we are in this model, print-outs and new manipulatives would be picked up through a drive-through service.
- Students will wear an AHN T-shirt.
- Students in grades 5 through 8 will use Google Classroom and Google Meet or Zoom to submit work and communicate.
- We will offer a drive-through library so students have books to read.
High School
- Students in the high school will adopt the Wednesday flex schedule. Monday and Thursday will be odd days and Tuesday and Friday will be even days, without rotation, and Wednesday will be a day for office hours and teacher meetings.
- The school will provide take-home art supplies in the lobby.
- All students will submit work through Veracross and Google Classroom.
- All students must be out of bed and at a desk with camera on ready to work at the regular class time.
- Students will be asked to wear their uniform top.
- Announcements will be provided to students through the Veracross Student Information Page.

In the case that the Academy must move to a true hybrid, half of students would come to school two days a week while the other half learns from home. The groups would alternate by last name, and an official schedule will be released should the need arise. If we need to reduce the number of students on campus, our priority will be keeping the lower school students on campus.
Life on Campus - During the School Day
At the Academy, we pride ourselves on our commitment to a close community--the Academy family. Despite global uncertainty, one certainty remains, students learn best in a community of caring adults who know them and understand their needs. The heart and soul of the Academy will not change!
Lower School
- Students will have assigned seats at all times.
- Students will visit cubbies on rotation to avoid crowding.
- Lunch outside whenever possible, socially distanced.
- Modified recess.
- We will possibly relocate some classes to larger spaces.
- For the first two months of school, students will be allowed to wear PE uniforms daily due to being outdoors more. We will evaluate continuing later into the year. If you have already purchased uniforms from Risse Brothers and have not washed or altered them, such as writing names in, they can be returned for a refund for up to four months. After four months, a credit will be issued.
- The location of art, music, drama and PE classes with be determined before the start of school. Trimester performances are postponed for this year.
Middle School
- Students will have assigned seats at all times.
- Students will not use PS squared (lockers).
- As much as possible, students will use digital books and resources.
- Lunch outside whenever possible, socially distanced.
- For the first two months of school, students will be allowed to wear PE uniforms daily due to being outdoors more. We will evaluate continuing later into the year. If you have already purchased uniforms from Risse Brothers and have not washed or altered them, such as writing names in, they can be returned for a refund for up to four months. After four months, a credit will be issued.
- The location of art, music, drama and PE classes with be determined before the start of school. Trimester performances are postponed for this year.
High School
- The schedule is adjusting, moving Advisory before lunch, allowing for two lunch sessions. Freshmen and juniors will eat in the Brady Center and the four-square courtyard, which will now be tented, and sophomores will eat in the Oak Grove. Seniors will be allowed to leave at lunch if they have study hall for last set; the remaining seniors may eat in the lounge. On rain days, students will eat inside, spaced out. Please see the revised high school schedule which allows for two separate lunch periods.
- Books and resources will again be digital.
- Choir and instrumental music classes will be adjusted to lower risk.
Professional Development
Over the summer faculty in both the Elementary and High Schools have participated in professional development to prepare for the possibility of going virtual again, as well as teaching in a hybrid model.
- In the Elementary School, faculty have participated in sessions on Google Classroom/Seesaw, student engagement and neuroscience, instructional strategies, trauma-informed instruction, assessment/evidence of learning/mastery, and building community and relationships in the classroom.
- In the High School, all teachers are taking a course in virtual instruction and another in assessment.
Early Bird, Extended Day + After-School Programs
For high school students, the Bayshore building will close at 5:00 p.m. Students must be picked up by that time.
Early Bird
Early Bird will be offered daily from 7:00-7:30 a.m. We ask that it only be utilized by working parents who absolutely must drop off to ensure their timely arrival to work. This year, car line will open at 7:30 a.m.
- Students will be dropped off on the West Drive. Parents will not be able to walk their child(ren) in.
- Students will be seated socially distanced, by grade level.
- Masks will be required.
- Students should arrive fed. They will not be allowed to eat.
- Students should bring their own non-technology-based activities.
So we may begin planning staff and spacing needs, we ask that you submit this form by August 5th if you plan to utilize Early Bird. Again, we respectfully ask that you only utilize the service if necessary.
Extended Day
Extended Day will look and feel different this year. Each child will be provided:
- time for homework
- one prepackaged snack per day
- shortened, social distanced play time
- mask breaks
We are researching fun, non-touch activities for the lower school. We ask that each child bring his/her own supplies for basic needs (pencils, erasers, crayons, scissors, glue stick). We will have a limited stock of these items that will be sanitized nightly.
Mask Policy
Students in Extended Day are required to wear their mask. If a child will not wear his/her mask, there will be one warning. On the second occurrence, he/she will not be able to attend Extended Day for one week.
Extended Day Pick-Up
This year, Extended Day staff will walk students to their cars; parents will not be allowed to enter to pick them up. To help facilitate pick up, we are utilizing a new app to alert staff of your arrival. Additional information and instructions are forthcoming.
Extended Day RSVP
Families that did not register for a semester or annual Extended Day plan within their contract may still use drop-in care. If you are able, please provide us with 24 hours notice so we can offer as much social distancing as possible by grade level. After-School Programs
Information on after-school programs will be available after school starts.
Athletics
The Academy is utilizing the guidance of the Florida High School Athletic Association (FHSAA), National Federation of State High School Associations, the Center for Disease and Control and our medical advisory board. Masks will not be required in athletics. Because it is not advisable to wear masks while participating in practices or competitions, additional measures must be added to try and mitigate exposure as best as we can.
Faith Formation
Nurturing the spiritual life of AHN is integral to our community of faith. Students and staff will continue to celebrate All-School Masses from classrooms via livestream. Taking advantage of smaller group settings for worship, each grade level will engage in formative prayer experiences, break open the Word of God, and/or celebrate Mass throughout the year.

Policies and Procedures
The Academy is following the guidance of the CDC and Florida Department of Health, as well as the recommendations of local health professionals, and has decided on the following:
All students and staff will have their temperature taken prior to entering the building. Staff will be at each drop-off point and in the parking garage with thermal scanners. Students will be screened in their cars. Anyone whose temperature is 100.4 degrees Fahrenheit or greater will not be allowed on campus.
Students attending Early Bird will be screened on the West Drive and walked into the Brady Center by a high school student or staff member. Parents must remain in their cars.
Students who arrive late must stop in the lobby to have their temperature checked before proceeding to class. A high school student who drives herself and arrives late must go to the lobby before the parking garage.
In the case of carpools, all those in the car must wear a mask. If one person in the car has a temperature and all those in the car are not wearing masks, the entire car will have to go home.
West Drive Drop-Off
If you drop off on the West Drive, we will have two lanes for use, one for the Elementary School and one for the High School. The innermost lane will be for Elementary School families, and the third lane will be for High School families. If a family has children in both divisions, they may use the Elementary School lane.
- Cars will stay in their lane and pull up to be temperature checked. We will temperature check from the beginning of the line, at the northwest corner of Brady Center, until the end of the Brady Center. Students should not get out of their car until their temperature is checked.
- High school girls will be asked to use the crosswalks to reach the sidewalk.
- If a child's temperature reads high, then the car will pull into the middle lane and wait for an administrator to recheck.
For the 2020-2021 school year, the Academy will mandate the use of face coverings campus-wide, including students, staff and visitors. Face coverings are the number-one factor in being able to keep our building open this year. According to the CDC, “the purpose of wearing cloth face coverings in public is to slow the spread of the virus and help people who may have the virus and do not know it from transmitting it to others.” With studies showing that children are often asymptomatic carriers, we have a shared responsibility to keep each other safe. If for no other reason, we have to ensure a safe environment for our students and teachers who are considered high risk or who may have family members at home who are. The Academy is a community, and we will face this together.
Please note that masks with respirators or valves are not permitted.
Enhanced sanitizing and preventative measures:
- The addition of four trained day porters, whose responsibility is to clean and disinfect all high-touch points throughout the school day using EPA-approved disinfectant and electrostatic foggers.
- The hired cleaning company will perform random spot checks and weekly walk-throughs to ensure their crew is meeting daily expectations.
- In the middle and high schools, desks will be wiped down between classes. In the lower school, desks and tables will be wiped down throughout the day.
- All HVAC filters have been upgraded to MERV 13 to better capture airborne bacteria and viruses, which will be changed quarterly. These are the highest-rated filter available for our systems. Additionally, we will increase the level of outside air to each space and extend the time that the HVAC systems run and exchange additional air at night.
- Install additional hand-washing stations and hand sanitizer stands throughout campus, on each floor. Each classroom will have hand sanitizer, and each lower school classroom has a sink.
- Fill stations will be available to refill water bottles.
Two school nurses will be on campus, and we have two infirmaries on campus. This will allow one for non-Covid medical attention and another for anyone showing COVID symptoms. Our isolation clinic is located in a trailer adjacent to the Oak Grove. Students will exit via Bayshore, further reducing contact on campus.
Lunch will take place outside, when weather permits, in the classrooms, and in the Brady Center. Both sides of the Brady Center will be utilized so we can set up additional tables, with four students sitting at a table instead of the usual 8.
Please note that breakfast will not be offered this year.
- Lower school students will eat outside on the playground, weather permitting. If a student orders SAGE, it will be delivered prepackaged.
- Middle school students will eat in the Brady Center or outside when possible.
- Freshmen and juniors will eat in the Brady Center and the four-square courtyard, which will now be tented, and sophomores will eat in the Oak Grove. Seniors will be allowed to leave at lunch if they have study hall for last set; the remaining seniors may eat in the lounge. Please see the revised high school schedule which allows for two separate lunch periods.
All SAGE personnel have completed ServSafe® COVID-19 training, are healthy when reporting to work, and wear appropriate personal protective equipment.
Outdoor space will be utilized to its full potential for instructional and social purposes. Exterior additions include fencing and screening around the Oak Grove, and a tent will be installed over the four-square court to provide shade. Fans will also be added to the pre-K playground, four-square court, and picnic tables adjacent to the Brady Center.
Students will not have to wear their masks outside, but they will have to maintain an appropriate distance, including during lunch and modified recess.
Given the heat at the start of school, Elementary School students (pre-K to 8th grade) may wear PE uniforms on a daily basis for the first two months of school. The policy will be revisited at that time.
Maintaining a staggered schedule for drop-off and pick-up. This year, car line will open at 7:30 a.m. As a reminder, there are no late-start Wednesdays. Academy's drop-off is inherently staggered.
Parents, visitors and vendors will only be permitted on campus with an appointment to conduct official business. Visitors must wear masks and have their temperatures taken.
Campus Zones + Movement
We are inherently zoned by division throughout the campus. As we move through the planning process, we will decide if further zoning for lunch and Elementary School art and PE classes will be beneficial. Traffic patterns through the halls and stairways will be marked to maintain one-way movement.
Lower School: Bayshore 1st Floor

Absences + Notifications of a Positive Test & Reporting
Quarantine Periods
Positive Test Within Household: 14 Days. This is regardless if the Academy staff member/student does not test positive.
Direct Exposure Outside of Household: 10 Days. The Academy defines a direct exposure as being in contact of less than 6 feet and for more than 15 minutes, without a mask.
If any member of an Academy staff member/student's household is awaiting COVID-19 test results due to symptoms or known exposure, to include parents/guardians or siblings who attend another school, that student should remain at home until the individual receives a negative test result or for the duration of a 14-day quarantine should there be a positive test in the household.
Fever Policy
This year, the Academy is adopting a 72-hour fever-free policy, which supersedes the previous 24-hour policy signed in Magnus. If a student or staff member has a fever, he or she must remain home until fever free for 72 hours without the use of fever-reducing medication, unless a doctor signs a note stating that the fever was not COVID-related (i.e. an ear infection). Even with a doctor's note, the student or staff member must be fever-free without the use of fever-reducing medication for 24 hours. While we understand the change to the 72-hour fever policy is new, so is the ability for your child to seamlessly continue their daily education at AHN with our hybrid model. Students who are at home, either for quarantine or non-COVID illness, and feel up to it may join their classes online. While maintaining student safety, we are still able to offer the continuity of education. All absences should be reported via the Veracross Parent Portal.
If your child has a symptom of COVID that is not something typical for him/her, we encourage him/her to stay home for the day out of an abundance of caution to monitor progression.
Elementary School Absence Protocols
Lower School (pre-k to 4th)
- Planned absences will follow the standard procedure. Parents should submit an Attendance Notification via the Veracross Parent Portal. Students may take their work to complete ahead of their return.
- If a student will be out for 1 or 2 days, parents may pick up work at the front desk to be completed at home. This aligns with the school's standard procedure.
- If a student is out for more than 3 days due to illness or isolation, the administration will work on a transition plan to get the student his/her school iPad and virtual schedule. At-home learners are a cohort and have specific times to log in for classes.
Middle School (5th-8th)
When a middle school student is absent from school, he/she should follow the following protocols:
- In the event of a planned absence, students must get their work from their teachers and complete the work before returning to school.
- If the absence is due to an appointment or other non-health related issue, the student should email the teacher and check Google Classroom for missed work. The work should be complete when he/she returns to school.
- If the absence is due to illness and the student feels up to attending the class virtually, he/she is permitted but must adhere to virtual expectations as outlined below:
- In addition to filling out the Attendance Notification via the Veracross Parent Portal, the parent must email the advisory teacher by 7:30 a.m. stating that the student would like to participate virtually.
- The student must be at a workspace that is conducive to learning.
- The students must be dressed in an AHN shirt.
- The student must maintain the behavior and expectations that he/she has while in school. This means that students should not eat while on camera and should not exhibit behaviors that are distracting to others.
- Tests may not be taken while out due to illness unless the absence is due to quarantine while waiting for a Covid test or a positive Covid test.
High School Absence Protocols
Students should choose to log in virtually only when absolutely necessary, when they are quarantining due to Covid exposure, or if they have selected to learn from home. Students who are going to be absent from school but would like to log in for class must do the following:
- A student who is learning virtually must email each of her teachers and Mrs. Krukar to advise why they need an exception. Students who are making regular requests will be told they can no longer have an exception. If a student does not email, she will be considered absent.
- We will no longer allow students to take tests virtually unless they are quarantining or are one of the identified at-home learners. If a student is absent, she will need to make up her test after school the next day in the testing lab.
- Families will be contacted for any “other” absence if the reason is not given.
